Executive Assistant
Organizational Overview
The Executive Assistant provides high-trust administrative and coordination support to the
Executive Director, helping ensure clarity, organization, and follow-through across
leadership priorities. This role supports the day-to-day rhythm of executive leadership by
managing schedules, communication, board administration, and select donor and
event-related tasks.
This position is ideal for someone who is highly organized, dependable, relationally steady,
and eager to grow in responsibility over time. While this role includes administrative work,
it also requires discretion, professionalism, and sound judgment. The Executive Assistant
works closely with the Executive Director and is entrusted with sensitive information and
key internal processes.
This is a part-time, in-person role based in Riverside, California, reporting directly to the
Executive Director.
Details & Responsibilities
Executive Director Support
● Manage the Executive Director’s calendar, including scheduling meetings and coordinating priorities
● Handle meeting correspondence, confirmations, and logistics on behalf of the Executive Director
● Support inbox and email management to ensure timely and appropriate communication
● Coordinate domestic and occasional international travel, including itineraries and logistics
● Provide general administrative and coordination support to help the Executive Director focus on leadership, fundraising, and vision
Board of Directors Administration
● Support administrative operations for the Board of Directors
● Coordinate board meetings, including scheduling, agendas, materials, and follow-up
● Record, organize, and distribute board meeting minutes
● Assist with board communications in partnership with the Executive Director
● Maintain organized board records and documentation
Event and Donor Support
● Assist with planning and coordination of key organizational events, including donor events, conference logistics and donor visits
● Support scheduling, logistics, materials, and follow-up related to events involving the Executive Director
● Capture and enter notes from donor meetings into the CRM with accuracy and discretion
● Help ensure donor interactions are documented consistently and promptly
Administrative and Reimbursement Support
● Manage expense and mileage reimbursement processes for the Executive Director
● Collect, organize, and submit receipts in accordance with organizational policies
● Support accurate and timely documentation for reimbursement and administrative workflows
Success in this Role
● The Executive Director’s schedule and priorities are well-organized and supported
● Meetings are coordinated smoothly and followed by timely communication
● Board meetings and materials are prepared accurately and on time
● Donor meeting notes are entered into the CRM consistently and reliably
● Administrative tasks are handled with care, confidentiality, and attention to detail

Skills Needed
● Alignment with AIRO’s mission and statement of faith
● Strong organizational skills and attention to detail
● Clear written and verbal communication skills
● Ability to manage multiple tasks and priorities with reliability and discretion
● Comfort using calendars, email, CRM systems, and basic administrative tools
● Ability to handle sensitive information with confidentiality and professionalism
● Prior experience in administrative or executive support roles preferred
Compensation
This is a part-time position, approximately 20 hours per week. Office hours are 9am-12pm
Monday through Friday with occasional evening hours for events.
This is an in-person role based in Riverside, California.
Compensation: $22–$25 per hour, commensurate with experience.
There is opportunity for increased responsibility over time.
